BReW Rota Righter is a Google Sheets add-on developed to assist users with creating medical rotas. This privacy policy explains how we handle your data when you use our add-on.
1. Information We Collect
We collect and store only the following data:
- Contact details (only if provided when contacting us)
- Username and Licence key (provided by us prior to use)
- Usage count (number of times the program has run)
- Shift preferences and rota linking data stored using Google Apps Script’s UserProperties and DocumentProperties
We do not collect any personal information automatically. We do not access or collect data stored in your spreadsheets or Google Drive unless it is used by the program internally (e.g., to generate a rota).
2. How We Use Your Information
The data is used solely for:
- Validating your licence and enabling functionality
- Storing rota preferences
- Tracking usage to monitor performance and improve user experience
No data is shared with third parties, used for marketing, or monetised in any way.
3. Data Storage and Security
Rota preference data is stored securely using Google Apps Script’s built-in properties services, which are accessible only by your Google account and the script itself.
We store usage counts within our Google Account. Outside of usage counts we do not store any data on our own servers or use external databases.
4. Responsibility for Personal Data in Rotas
While using this add-on, you will likely collect personal data about other individuals (such as names and contact details of staff). This data is:
- Stored entirely within your Google Sheets and Google Drive
- Never transmitted to us or a third party.
- Never accessed by the add-on outside of the spreadsheet you are working in.
- Your responsibility to manage, secure, and delete as appropriate under applicable data protection laws (e.g., GDPR)
This add-on uses:
-Google APIs (Sheets, Drive, Forms) to operate within your Google Workspace environment
- Publicly available UK bank holiday information by making a request to:
https://www.gov.uk/bank-holidays.json
No user data is shared with this site.
6. User Control
You can remove this add-on at any time via:
Google Sheets → Extensions → Add-ons → Manage Add-ons
To delete stored user or document property data related to the add-on, contact us at the email below.

We may update this policy from time to time. Changes will be posted on our official website or GitHub repository.
